Mission Coordinators (VOLUNTEER)

We are recruiting 3 Leads to manage and execute rescue missions within Canada and the United States, including the Tennessee Rescue Mission. Reporting to the Intake Manager, these roles will be responsible for the successful end-to-end management of volunteers, dogs, and intake to ensure a safe and smooth trip for all involved.  The roles will proactively plan future missions, implement changes as a result of mission evaluations/lessons learned sessions, and will work together to ensure consistent and effective communication with Fetch & Releash senior management.      

ON-SITE INTAKE LEAD (VOLUNTEER)

The On-Site Intake Lead will work closely with the Logistics Intake Lead and the Return Intake Lead to successfully plan and execute rescue missions within Canada and the United States, including the Tennessee Rescue Mission.  During the rescue mission, the On-Site Intake Lead will manage a team of volunteers and work closely with the dogs set to return to Canada. 

This role will include travel within Canada and the United States.

Responsibilities include, but are not limited to: 

  • Liaise with rescue partners in advance of the trip, ensuring that information on each dog is collected. This role will ensure that rescue partners are kept abreast of any changes to the planned visit, and will be the rescue partners’ main point of contact in advance of and during the trip.

  • Participate in trip volunteer recruitment under the direction of the Logistics Intake Lead. This includes ensuring that special projects to be completed are adequately staffed with volunteers.

  • During the rescue mission, assess dogs on behaviour, injuries, and flight risk.  Communicate with the Intake Manager, Adoption Manager and Foster team to ensure information is disseminated and actioned. 

  • Manage the set-up and logistics around placement of dogs in crates in preparation of the trip home. Ensure all crates are secured, adequate ventilation is present, and that dogs are placed according to needs. 

  • Manage documentation for each dog: ensure proper documentation is received in advance of the trip home and prepare the documentation for Border Security. Responsible for passing completed documentation and vetting records (along with any necessary action from the vetting team) to the Return Intake Lead. 

  • In conjunction with the Logistics Intake Lead and Return Intake Lead, conduct a Mission Evaluation/‘Lessons Learned’ session.  Recommend future actions to be taken to improve future trips, and upon Board approval, implement the changes. 

REQUIRED SKILLS:

  • Able to travel within Canada and the United States for trips (usually 4 days long; 2 weekdays and 2 weekend days).  Must meet the criteria for attending trips (at least 25 years old with a valid Passport and Driver’s License). 

  • Forward-thinking and able to plan/execute on a plan with limited supervision. 

  • An understanding of recruitment/sourcing techniques and methodologies.

  • Highly organized, with experience with event planning or projects. 

  • Experience with rescue practices and processes required.  Experience with Fetch & Releash would be preferred. 

  • Computer savvy; experience with applications such as Google Sheets, Google Drive and Barrk preferred.

  • Previous employee/volunteer management would be an asset. 


TIME COMMITMENT: 

  • Planning: 3-5 hours/week

  • Execution: 4 days, frequency dependant on season and foster/foster-to-adopt homes available.

LOGISTICS INTAKE LEAD (VOLUNTEER)

The Logistics Intake Lead will work closely with the On-Site Intake Lead and the Return Intake Lead to successfully plan and execute rescue missions within Canada and the United States, including the Tennessee Rescue Mission.  The Logistics Intake Lead will manage a team of volunteers attending the intake trip. 

This role may include travel within Canada and the United States.

Responsibilities include, but are not limited to: 

  • Manage the acquisition of a team of volunteers for the trip, including screening of volunteers.  Ensure that skills required to complete special projects are obtained through the recruiting process. 

  • In conjunction with the Intake Manager, oversee special projects to ensure volunteers are provided with the required instructions and materials to complete the tasks. 

  • In conjunction with the Intake Manager, maintain a list of dogs to be brought back to Canada, and communicate with the On-Site Intake Lead of any changes to this list. 

  • Responsible for trip/travel schedule: book and schedule transportation, accommodations, and food for the volunteers in advance of the trip.  Clearly communicate plans to the volunteers, and answer any questions that volunteers may have. During the trip, stays in close contact with the On-Site Intake Lead to manage any issues that may arise with the transportation, accommodations, or food. 

  • Coordinate with the Storage Lead pre and post trip to coordinate the items to be sent down, and ensure all items sent on the trip are returned back to the storage unit. 

  • Support volunteers with packing of the truck pre-trip. 

  • In conjunction with the On-Site Intake Lead and Return Intake Lead, conduct a Mission Evaluation/‘Lessons Learned’ session.  Recommend future actions to be taken to improve future trips, and upon Board approval, implement the changes.

RETURN INTAKE LEAD (VOLUNTEER)

The Return Intake Lead will work closely with the On-Site Intake Lead and the Logistics Intake Lead to successfully plan and execute rescue missions within Canada and the United States, including the Tennessee Rescue Mission.  The Return Intake Lead will manage a team of volunteers and will work closely with dogs returning to Canada from a rescue trip. 

This role does not require travel.

Responsibilities include, but are not limited to: 

  • Seek out and confirm intake locations (ie. Vet clinic/dog daycare) that meets the needs of the incoming dogs.

  • Manage volunteers for day-of intake, including participation in the recruitment and screening of volunteers and ensuring communication with volunteers about changes to the date/time of intake.

  • Day-of volunteer briefing on the facilities, and supervision throughout the intake to ensure volunteer and dog safety at all times. Assigns roles and responsibilities to volunteers. 

  • Ensures volunteers are trained and understand dog fight prevention, flight risk, and handling protocol. 

  • Liaise with the Foster team and Adoption Manager to ensure any observations about dogs are recorded in their files. 

  • Liaise with the Vet (if applicable) to ensure the proper treatment of any medical issues upon return to Canada.  Additionally, ensure all vetting paperwork is provided to the Vet/Vetting Coordinator. 

  • Manage a supply of PawScout trackers; assign trackers to dogs, record tracker numbers for dogs in Barrk, and ensure trackers are securely placed on collars at intake. 

  • In conjunction with the Logistics Intake Lead and On-Site Intake Lead, conduct a Mission Evaluation/‘Lessons Learned’ session.  Recommend future actions to be taken to improve future trips, and upon Board approval, implement the changes.

FOSTER / FOSTER-TO-ADOPT PHONE SCREENER (VOLUNTEER)

The foster and foster-to-adopt (F2A) phone screener will be responsible for screening potential foster and F2A applicants via 60+ minute phone screen and a virtual home tour. This is a committed role and hours are dependent on applications being processed. On average, anticipated hours are anywhere from 2-5 hours per week.

Responsibilities include but are not limited to:

  • Reach out to the applicants within 24 hours of assignment

  • Conduct the phone interview, virtual home visit & reference checks

  • Complete the appropriate documentation and upload to database, ensure Google tracking sheet kept up-to-date.

REQUIRED SKILLS

  • Must be computer savvy (experienced with google sheets/docs, email, Microsoft office etc.)

  • Excellent communication skills and an outgoing and friendly personality

  • Must have some dog experience. Basic knowledge of dog behavior/training preferred.

  • Ability to work independently and as part of a broader team

  • Must have a passion for rescue and a “can do” attitude!

TIME COMMITMENT

  • 2-5 hours a week depending on the need and your availability

  • Must attend all three 1.5 hour training sessions before being assigned your first screen.

  • Must be responsive to emails within 24 hours of contact to you from our intake coordinator or trainer to ensure that we do not lose a valuable foster parent who will help us save lives.

The Volunteer Recruitment Specialist will work closely with the founders to support the growth of the rescue by focusing on the recruitment of key volunteer positions.

Responsibilities include but are not limited to:

  • Full cycle recruitment – actively seek out, screen and interview potential candidates

  • Complete reference checks

  • Present curated list of potential candidates to senior leadership for evaluation

  • Assist with onboarding chosen candidates

REQUIRED SKILLS

  • Educational background in HR related field (professional designation preferred)

  • 3+ years relevant industry experience

  • An understanding of recruitment/sourcing techniques and methodologies

  • Strong interpersonal and communications skills (written and verbal)

  • Develop a marketing/branding toolkit to be leveraged by various cross functional teams

DONATIONS COORdinator (VOLUNTEER)

The Donations Coordinator will work closely with the Inventory & Supply Coordinators to manage incoming gift-in-kind donations from both public and corporate donors.

Responsibilities include but are not limited to:

  • Manage donations email inbox and respond to donations inquiries

  • Coordinate drop off and pick up of donation to our Streetsville, Mississauga storage facility

  • Help to put away donations and organize storage unit

  • Network with local groomers, pet store, vets etc. to get donation bins set up in their store. Coordinate collection of donations and log into inventory.

  • Draft sponsorship letters at request of corporate donors and sponsors.

 REQUIRED SKILLS

  • Must live within 20-30 min of Streetsville, Mississauga storage unit and be willing to work on site once per week.

Events Coordinator (Volunteer)

The Events Coordinator will work closely with the Events Team Lead to coordinate and execute events such as Woofstock, Pet Expo, Bingo, Pride, Pints for Paws, in addition to adoption events and volunteer socials.

Responsibilities include but are not limited to:

  • Organizing all aspects of planning and executing an event from start to finish.

  • Ensuring event is appropriately staffed by recruiting and managing casual volunteers.

  • Coordinating recognition efforts to thank and recognize casual volunteers.

  • Ensuring that all volunteers attending are aware of their role and are prepared to be the face of our rescue!

  • Assisting with on-site management of event, including set-up, tear-down and supervision of volunteers where applicable

Foster coordinator (VOLUNTEER)

A Foster Coordinator’s primary role is to help our foster families navigate their foster experience from intake through to adoption. You will wear many different hats from onboarding new foster families to providing emotional support when it’s time to say goodbye, and everything in between! Sure, fosters are the backbone of our rescue, but behind every amazing foster family, is an equally amazing foster coordinator. Specific duties of the Foster Coordinator include, but are not limited to:

  • Recruit, train, mentor and serve as primary contact for foster families.

  • Follow up with fosters regularly to provide support and ensure compliance with our foster programs and services.

  • Demonstrate empathy for foster families and compassion for the foster dogs.

  • Respond to non-urgent emails/phone calls within 12 hours, and emergencies situations immediately. If unable to respond in emergency situation coordinate with other team members to ensure coverage.

  • Support intake team with placement of foster dogs in appropriate homes.

  • Support adoption team with coordinating attendance of dogs at adoption events.

  • Support vet team with coordinating transport of dogs to and from vetting appointments.

  • Ensure database is up-to-date and accurate at all times and perform other administrative tasks as assigned.

  • Uphold the rescues values during interactions with the public and other staff at all times.

 REQUIRED SKILLS

  • Dog experience a must! Basic knowledge of dog behavior/training preferred.

  • Ability to handle multiple tasks at once and work in a fast paced environment.

The Transportation Manager will work closely with the Intake & Foster Managers to coordinate the intake and transportation of dogs into our Rescue.

Responsibilities include but are not limited to:

  • Build and manage a network of transportation volunteers.

  • Liaise with partner shelters/rescues across the globe to plan and execute transportation of dogs safely into our care.

  • Provide accurate and timely updates to the ground support team on transportation day.

  • Follow up with transportation volunteers for feedback, stories and photos that can be used on social media.

DONATIONS manager (VOLUNTEER)

The Donations Manager will work closely with the Inventory & Events Managers to secure gift in kind donations.

Responsibilities include but are not limited to:

  • Build and manage a team of Donations Coordinators.

  • Work with Inventory Manager to build and maintain an inventory of supplies such as leashes, harnesses, collars, blankets, healthy food & treats, crates, toys, and other services such as grooming for new intake dogs (i.e. nail trims, bath, hair cut if required).

  • Network with local groomers, pet store, vets etc. to get donation bins set up in their store. Collect donations and log into inventory.

The Fundraising Manager will work closely with the Donations & Event Managers to fundraise cash donations.

Responsibilities include but are not limited to:

  • Build and manage a team of Fundraising Coordinators.

  • Work closely with Events Manager to fundraise cash donations.

  • Research opportunities to apply for grants (i.e. government, other non-profits, large corporations).

  • Research and apply for relevant contests such as Pets Plus Us Champion awards.
